Let's take some time to focus on one of the MOST used softwares in the computer world. It's strange how we use something so often and not think twice on fixing some of our pet peeves or kinks that we face which we weren't meant to in the first place. If we compare the amount of work we get done with Microsoft Word, it probably comes in a close third after our Operating System and our Internet Browser.

1. “Macros in this project are disabled”

Problem:

Error message “The macros in this project are disabled. Please refer to the online help or documentation of the host application to determine how to enable macros.” upon launching or exiting Word.

Resolution:

Empty the startup folders for Word and Office by dragging the items found in them onto the Desktop.

The following are the default locations for the Word startup path:

-Microsoft Windows 98 or Microsoft Windows Me:

C:\WINDOWS\Application Data\Microsoft\Word\STARTUP

-Microsoft Windows 2000 or Microsoft Windows XP:

C:\Documents and Settings\<user name>\Application Data\Microsoft\Word\STARTUP

The default location of the Office startup folder is:

<Drive>:\Program Files\Microsoft Office\Office\Startup

2. Solid Black Bar When Typing

Problem:

When typing in Word, a solid black bar appears across the page over the line or lines in which you are typing. As a result, you cannot view or read the contents of what you are typing.

Resolution:

a) Install the correct video adapter for your PC. Right-click on the Desktop/Properties/Settings/Advanced/Adapter/Properties/Driver

b) Applies to WIN ME, WIN 98 and WIN 98SE. Change the display mode. Click Start/Run/type in “msconfig”/Advanced/Settings/Clear the "VGA 640 x 480 x 16" check box. Reboot PC.

c) Change the Display color depth. Right-click on the Desktop/Properties/Settings/Colors (Color Quality) /Select 256 colors or higher.

3. Prompt to Save to Normal Template

Problem:

Error message “Changes have been made that affect the global template, Normal.dot. Do you want to save those changes?” upon quitting Word.

Resolution:

a) In Word, Tools/Options/Save/uncheck the box “Prompt to save Normal template”.

b) Close out of Word and Outlook, find normal.dot and rename all the instances found into normal.old, normal1.old, etc.

The default location for the global template (Normal.dot) is:

-Microsoft Windows 98 or Microsoft Windows Me:

C:\WINDOWS\Application Data\Microsoft\Templates

-Microsoft Windows 2000 or Microsoft Windows XP:

C:\Documents and Settings\username\Application Data\Microsoft\Templates

4. Title Bar Flashes

Problem:

The Word title bar flashes when clicking on “Print” or “Save As” or “Help”.

Word stops responding.

Word opens slowly.

Resolution:

If Norton antivirus (versions 2000, 2001, 2002 and 2003) is installed, disable the plug-in for Office.

5. Recovering a Lost File

Problem:

Unexpected error occurred and a Word document hasn’t been saved and/or how to recover a lost Word file.

Resolution:

a) Close all applications.

b) Click Start/Search/All files and folders. Search for *.doc, *.tmp, *.wbk, *.asd and ~$<filename>.doc files

c) Educate the customer how to use “Always create backup copy” in Word, Tools/Options/Save

6. Unable to open Word document

Problem:

Word document will not open. Word document appears to be corrupted, unreadable or damaged.

Unable to open Word file, which was sent as an e-mail attachment, error message “The document name or path is invalid”.

Resolution:

a) Open a problematic file in WordPad. Save it as *.rtf file, and then reopen the file in Word.

b) Launch Word and bring up a blank Word document. Click on Insert/File/insert the problematic file into a blank Word document.

c) Launch Word. Click on File/Open, navigate to the problematic file and highlight it. Select “Recover text from any file” from the “files of type” drop-down box.

d) Click on Show/Hide button on the Standard toolbar. Copy all the text, except for the last paragraph mark into a new Word document, save the document under a different file name and into a different location.

e) Applies to Word 2003 and Word 2002 only. Launch Word. Click on File/Open, navigate to the problematic file and highlight it. Click on the arrow down next to the Open button and select “Open and Repair”.

f)       If the document appears to be in unreadable format, highlight all text and select a different font from the Formatting toolbar.

g) Save the Word attachments (from Outlook, etc) to hard-drive instead of double-clicking on them to open.

7. Typing, Spellchecking and Grammar Checking

Problem:

Typing, spellchecking and grammar checking in any other language, but English, French and Spanish.

Resolution:

a) Standard Office products come with the functionality to perform spell check and grammar check for English, French and Spanish.

In order to be able to do spell check and grammar check for any other languages, customers will need to purchase Office XP Proofing Tools pack, available at

b) To enable typing in any language:

Start/Control Panel/Regional and language options/Languages/Details/click on Add button to add a language.

The language also has to be enabled in:

Word 2000. Start/All programs/Microsoft Office Tools/Microsoft Office Language Settings/put a check mark in the required language

Word 2002. Start/All programs/Microsoft Office Tools/Microsoft Office XP Language Settings/highlight the required language/click on Add.

c) If the customer needs to type in Chinese/Japanese/Korean. Start/Control Panel/Regional and language options; put a check mark in “Install files for East Asian languages”. Select “yes” to a prompt to insert Windows CD. Reboot PC. Enable the required language as per b)

d) If the customer needs to type in Hebrew/Arabic/Urdu/Farsi/Thai etc. Start/Control Panel/Regional and language options; put a check mark in “Install files for complex script and right-to-left languages”. Select “yes” to a prompt to insert Windows CD. Reboot PC. Enable the required language as per b)

8. Outdated Printer Driver

Problem:

Word crashes with the error message “Winword has encountered an error and needs to close. Error details: hpxxxx.dll or hpxxxx.drv”

Resolution:

a) Install Generic Printer and test the issue with Generic Printer being the default printer.

b) Update the printer driver from the vendor’s website ( , etc)

9. Inserting a symbol causes Word to crash

Problem:

Inserting a symbol into a Word document (from Insert/Symbol) will cause Word to crash.

Inserting bullets and numbering into a Word document will cause Word to crash.

Resolution:

a) Too many fonts are installed. Check Start/Control Panel/Fonts folder. The number of fonts installed should not exceed 500 fonts. Sometimes customers will have 1200-1500 fonts installed, and this is causing the problem.

b) Delete unnecessary fonts. Note: be careful not to delete the system fonts (Arial, Times New Roman, Tahoma, Wingdings, etc)

1 - Create new folder on desktop.

2 - Move non-essential fonts into the newly created folder. Copy them from the font folder, paste them into the new one, and then delete the originals.

3 - Reboot into Windows Safe Mode.

4 - Reboot into Windows Normal Mode.

5 - Test Word by inserting Symbols. If it doesn't work, repeat 2-5.

10. Fields Don’t Display Correctly after Mail merge.

Problem:

When performing mailmerge in Word with a database from Excel or Access, some of the fields in Word will not display correctly.

Resolution:

a) Use DDE to connect to Excel or Access database.

b) In Word, Tools/Options/General/put a check mark in “Confirm conversion at open”

c) Close Word. Re-launch it again and perform the mailmerge.

d) If the above steps still don’t work, export the database into *.csv or *.txt format and do the mailmerge with those type of files.

11. Applying Bullets and Numbering causes Word to crash

Problem:

Clicking on bullets and numbering on the Formatting toolbar in Word causes application to crash or exhibits unusual behavior for bullets and numbering.

Error message “   Invalid Page Fault in Module Mso9.dll” when clicking on bullets and numbering on the Formatting toolbar in Word.

Resolution:

This problem may occur when the List Gallery Presets are damaged in the Windows registry.

a) Close all applications. Click on Start/Run, type in “regedit” (without the quotation marks)

b) Expand the following key HKEY_CURRENT_USER\Software\Microsoft\Office\<office version>\Word\List Gallery Presets

c) Right-click on “List Gallery Presets” and export it onto the Desktop

d) Close out of Registry Editor and re-launch Word to test it

Note: If you delete the entire List Gallery Presets, this returns the gallery to the default schemes, deleting the customer's custom schemes. Word will re-create the registry key when it is restarted.

12. Mail merge with different data sources files

Problem:

Performing mailmerge in Word with various data sources.

Resolution:

a) The following file types can be used as data sources to perform mailmerge in Word:

*.txt, *.csv, *.doc, *.dot, *.mdb, *.xls and *.wps (if Works Suite is installed) .

b) Windows Address Book files (*.wab files) are not valid data source. Those files have to be converted into *.txt or *.csv format to be able to do mailmerge with them.

c) Microsoft Outlook Contacts folder can be used as data source for the mailmerge.

d) Outlook Express Address Book has to be exported as a *.txt or *.csv file to be able to do mailmerge.

13. Word files open/save slowly

Problem:

Word files open slowly. Retrieving or saving a Word file takes unusually long time.

Resolution:

a) Make sure that “Make local copy of files stored on network or removable drives” in Tools/Options/Save is unchecked

b) Ask your customer to unplug the network cable (if they are on the network) . If issue doesn’t occur locally (with the network cable being unplugged) , then re-route the case to Word PRO Support.

14. Toolbars and Menus are Missing

Problem:

Toolbars and menus are missing upon launching Word.

Resolution:

a) Start Word with the /a switch. Close all applications. Click on Start/Run, type in “winword.exe /a” (without the quotations marks)

b) If the issue doesn’t occur in Word safe mode, then rename all instances of normal.dot found and rename Data and Options keys in the Registry Editor in data.old and options.old respectively.

15. How to Move Autocorrect Entries between Computers

Problem:

Moving autocorrect entries between computers. Backing up autocorrect entries.

Resolution:

Word uses autocorrect entries (*.acl files) to correct the spelling as you type.

a) Download and Install the AutoCorrect Utility

For Word 2003, use support.dot template.

For Word 2002, use support.dot template, which is located at

C:\Program Files\Microsoft Office\Office10\Macros

For Word 2000, it has to be downloaded from

b)    Back up your AutoCorrect Entries on the source Computer

c)      Restore Your AutoCorrect Entries to the Destination Computer

16. How to Create a Protected Document using Form Fields

Problem:

Customer wants to create a document, where some portions of the document have to be filled in by users, whereas some portions of text would be restricted to be accessed.

Resolution:

Create a Word document using forms, and then protect the document.

a) Open up blank Word document, type any text, include graphics, tables, etc.

b) Put the cursor where you want the fill-in box, check box or dropdown field to be.

c) Click on View/Toolbars/Forms

d) Select Text Form Field, Check Box Form Field or Drop-Down Form Field and insert it/them in the document.

e) Click on Tools/Protect document/select Forms. Type a password (optional) .

f)       Save the document

17. Unexpected/unusual behavior in Word

Problem:

In Word, File, Edit, or View menus may open and close without keyboard or mouse input from users. Text spontaneously appears in Word without any input from users.

Resolution:

Speech recognition and/or text services are turned on in Word.

a) Turn off the microphone. To do this, click Microphone on the Language bar

b) Turn off text services. To do this, follow these steps:

1. Right-click the Language bar.

2. Click Settings.

3. In the Preferences box, click Language Bar.

4. Click to select the "Turn off advanced text services" check box.

5. Click OK, and then click OK to confirm your selection.

c) Remove the speech recognition feature from Office XP (please confirm with a customer before doing that) . To do this, follow these steps:

1. Click Start, point to Settings, and then click Control Panel.

2. Double-click "Add or Remove Programs".

3. In the Currently installed programs list, click Microsoft Office XP <version>.

4. Click Change, make sure that the "Add or Remove Features" option is

        selected, and then click Next.

5. Under Features to install, expand Office Shared Features, and then

expand Alternative User Input.

6. Click the arrow next to Speech, and then click Not Available.

7. Follow the steps on the screen to finish removing speech recognition.

18. Errors on opening Clipart/Clip Organizer

Problem:

Clicking on Clipart or Clip Organizer in Word, causes the error message “Clip art organizer cannot complete the requested task” or “Clip Organizer cannot complete the operation” to appear.

Resolution:

An older version of the Microsoft Data Access Components (MDAC) is installed.

19. Errors installing Service Packs

Problem:

Error message “Error 1635. This patch package could not be opened. Verify that the patch package exists and that you can access it, or contact the application vendor to verify that this is a valid Windows Installer patch package" when installing Service Packs.

Resolution:

Clean installation of Office should be performed (please send a sub-case over to Office Setup) .
