Companies like MFC Microcomerc (Europe) convince us that they have great things to give the world in the area of IT. 18 years this company has been investing in the development of document managing systems.

Microcomerc is one of the rare, if not the only one that offers solutions that cover everything about managing and storing documents. Their solution, the Spider, does cover everything there is to cover in managing documents just like a spider with it’s web. Things like software, hardware, scanning services, microfilming and storing information. Our point of focus will be the Spider.NET software for managing documents.

The basic thing that you always start with is the Spider.NET e@rchive, a module that classifies documents according to their type and assigns them corresponding metadata. In the same place, in the e@rchive module, you can manage other functions of the modern DMS, which doesn’t include only the search, but also the defining of access rights, electronic signing and granting secrecy levels. The users will spend most of their time in this module and for many of them this will be the beginning and the end of the whole work when it comes to the computer replacement of endless shelves with dusty books.

Spider Net Ultimate EditionBut don’t think that is really the end. We are still at beginning because the e@rchive is not complete if you don’t add the Spider.NET repository of active documents. Because today there is a large number of documents disappearing, a lot of them are transferred in electronic form and many of them never even get on paper, this repository helps us to include them in the important business of managing documentation inside a business system with quality. Next to the already mentioned e@rchive possibilities, the repository also manages the versions of documents, enables us to make templates, create PDF and gives us a lot of different useful options.

During all these years of the development of the Spider system, MFC Microcomerc has regularly added modules that fulfilled the system with the most up to date possibilities. Because of that, an integral part of the Spider.NET is the DocFlow module, a web application that enables employees to get work assignments together with all the following documentation. It reminds us of the popular electronic mail applications, with the only difference being that instead of mail, work orders come in your Inbox. These orders can be grouped and filtered by priority, business process, the role that the user has in this process...

The application is specially adapted to the processes that imply intensive work with documentation. Next to the various options for showing documents, it also contains the possibility of  inputting new documents in the business process. It is done directly from the computer, if we are talking about electronic documents, or scanning, when it comes to paper documents.

And so we reach the third Spider.NET module in a row. If we look at the e@rchive (the static part of the Spider.NET system) as the part that secures the storing, but also the quick and simple searching of documents that make the core of business, the DocFlow as the layer that adds the dynamic component to the e@rchive, then we have the process designer that can be thought of as the layer above the DocFlow that secures easy and efficient control and structuring of the DocFlow. Although it represents an inseparable part of the Spider.NET system, the Process Designer can also independently distribute and function without the instance of the Spider.NET. It is equipped with a simple and intuitive interface that covers all the segments of business process modeling. And so we reach a module that a modern DMS doesn’t exist without it.

Spider Scan makes scanning easier, especially with the hardware from MFC Microcomerc, Spider Grid is meant for those that want a serious platform for processing massive amounts of data, and we were also interested in two innovative modules called BoxIT and LibIT.

BoxIT can be described as an electronic equivalent to archive boxes, but with almost immediate access to all the boxes. Searching for documents is very fast, and there are also built in security systems and access control. This is an more economic, safe, and secure way of storing documentation, and it is available through outsourcing or as an internally placed system.

LibIT is an application for fast and easy searching of digitalized data such as books, manuals, articles, instructions... The only prerequisite for it’s use is the digitalization of the chosen material, then indexing and processing of the digitalized material with Optical Character Recognition tools, and the user needs only a Web Browser to use the application. Searching is very simple and can end on a book level or a text level.

MFC Microcomerc has united all the experiences gained through working with users in the last two decades in the best way, and parallel to that it carefully followed all the trends in the world of systems for managing documents. The result is a powerful and reliable Spider.NET, a product that has been created through hard work and smarts.
