If you are using Microsoft Office Word for something a bit more complex than writing letters you are probably spending a lot of time opening menus, choosing commands and options in the dialog frames. Wouldn't it be more efficient work if you could use simple button combinations?

That is exactly why there are keyboard shortcuts.

Shortcuts are combinations of keys that give you fast access to command's, font's, symbol's, style's and macro's. A lot of shortcuts are built into Word. The meaning of the shortcuts can be changed and you can also define other shortcuts from the keyboard. A complete list of Word's standard keyboard shortcuts will show up on the screen if you choose Help – Microsoft Word Help. Click on the Index card and input “shortcut keys”. The list of some Word shortcuts is displayed below. In the Help option there are only basic built in Word shortcuts. Searching through the help menu you can't find out if you, or someone else, assigned a different keyboard shortcut.

A you can see in the table above some built in keyboard shortcuts are consistent out of just one functional key. Most of them still require you to press the keys Shit, Ctrl, Alt or some combination of these keys and maybe another key. User defined shortcuts are made out of similar key combinations. You can also create a keyboard shortcut that consist of two key combinations.

Let's just assume that you often use in Microsoft Office Word the style's Normal, Heading 1, Heading 2, Heading 3, and Heading 4. You will work faster if you assign keyboard shortcuts to these keys. But, before you create them you should check if they already exist in Word. The easiest way to do that is to look in the help menu, as mentioned above. If you do that you will discover that:

Ctrl+ Shift+ N        Applies Normal style
Alt+ Ctrl+ 1            Applies Heading style 1
Alt+ Ctrl+ 2            Applies Heading style 2
Alt+ Ctrl+ 3            Applies heading style 3
