Today we are going to present you two tutorials in Excel. We are going to talk about tracking changes and number formatting in Excel.
Excel Track Changes
Track Changes is a useful option that helps in team work for many people to create complex documents, grade them and interactively fix them, until they reach an optimal result. All changes can be approved or denied, but also later changed.
Tracking mass changes in documents with marking when and who changed something, filled with a comment, make the process comfortable and flexible. Track Change is widely accepted when making Word documents, and many users don't even know that this great option exists in Excel too. Open the Review tab ribbon in the right part of the bar an see the icon Track Changes. Then click on Highlight changes and in the next window you can more accurately define how Excel will track the changes.
Define when it is saved: always, from the last save, the things that are not graded yet or the desired date. After that define whose changes are tracked (everyone's or everyone's with the exception of you). There is the possibility of reducing the saving of changes in the defined part of the work sheet, while other changes can be ignored. And in the end you can choose whether all changes will be visible on the screen after you place the cursor above the changed field.
To save the changes and see then in a particular work sheet, you need to turn on the List changes on a new sheet. We need to mention that this option is only available when you turn on the Track Changes and save the file at least once with one change that can be tracked. So you could follow the input changes and count them or reject them, click again on Track Changes, then Accept/Reject Changes and go trough each change or accept in group, but you can also deny them. In the dialogue for accepting and rejecting changes you can use the guideline When, click on Since date in the When list and set the earliest of the changes you are tracking.
To control the changes of a certain user, choose the Who option and in the list click on the desired user. All users can be graded when the field Who is turned off. The changes of a certain area are defined with the Where guideline turned on, followed by setting the range of desired fields of the work sheet. All changes can be accepted or rejected without single questions by clicking on Accept All or Reject All.
Different number formatting
In the tables whole numbers are mostly used, or we add two, maybe three decimals. Sometimes it happens that we want narrow columns and if we show only the important digits we can save a lot of space. Let's say that we can neglect the decimals in large number, but in number less than 1 we can't do that because then we lose the precision.
How do we enable different formatting for these two groups of numbers? Press Ctrl+1 and we get the option to define our own type of formatting in the Number tab, under the menu Custom.
With this formatting we will show number smaller than 1 with 5 decimals, and the bigger ones with three decimals. A nifty way to show multiple information on the same deficient space.
Similar, but still with modified formatting [<1]_($#,##0.00_);_($#,##0_._0_0_) in the combination with a right alignment we come to a greater readability, but on a less used field width. The right decision always depends on the concrete table and the goal we want to achieve.
